Privacy notice
Effective September 9, 2026
This notice explains how Stela handles information submitted through the Stela website and for project closeout record preparation.
Information we receive
Contractors and other authorized submitters may provide contact information, company and license information, property addresses, project dates and descriptions, photographs, invoices, scopes of work, permits, inspection documents, warranty information, product information and other materials related to completed construction, installation or repair work.
Shared folders and temporary working files
If you provide a Google Drive or Dropbox link, Stela uses that access to review the submitted project material and prepare the requested PDF records. Relevant project files may be downloaded or copied temporarily into Stela's working environment while the records are prepared. Revoking the original shared-folder link stops future access to that folder.
PDF-only delivery model
Stela V1 does not operate a public hosted property-record database or customer portal. The primary deliverables are downloadable PDF files provided to the submitting contractor: a Client Closeout Record and a Detailed Contractor Copy. The contractor is responsible for retaining the original project files and delivered PDFs.
How we use information
We use submitted information to prepare the requested records, identify documentation gaps, communicate with the submitting contractor or authorized project participant, provide support, secure and operate the service, and improve Stela's record format and workflow.
Who receives project information
Stela does not sell contractor, customer or property project information. Project information may be shared with the submitting contractor, the property owner or customer, or other parties the submitting customer asks Stela to support. Infrastructure and service providers may process information as necessary to receive submissions, prepare files, deliver email and operate the service.
Retention and deletion
Stela does not use the V1 service as a long-term hosted archive for customer project files. Temporary working project files are used for record preparation and delivery rather than as a persistent online property record. Limited operational information—such as submission emails, support communications, delivery records, security logs or provider backups—may remain for reasonable business, security, legal or troubleshooting purposes. To ask what information Stela holds about a project or request deletion where applicable, contact hello@stelarecord.com.
Security
Stela uses reasonable technical and organizational measures appropriate to the service. No method of internet transmission or storage is completely secure, so submit only material reasonably necessary to prepare the project record.
Do not submit unnecessary sensitive information
Do not submit Social Security numbers, bank credentials, payment card numbers, passwords, medical records or other unrelated highly sensitive personal information.
